The starting point: knowledge held by individuals
Personal inboxes, shared passwords and scattered notes make a handover difficult. Open cases are particularly vulnerable: a fee question, a missing document or an unconfirmed change. Passing over a folder does not explain the next action.
Before the handover: collect unfinished work
List the cases that must continue after the change. Record their current status, next step, owner and deputy. Include relevant deadlines or commitments. Start with the most important workflow rather than reorganising every club document at once.
Take over together in the club office
Club Base Cloud brings open cases, responsibility and history into a shared workspace. Individual accounts link responsibility to people. A successor can inspect a specific case and understand what comes next instead of searching someone else’s mailbox.
A practical handover checklist
Review five points together: Which cases remain open? Who takes over each one? Who provides cover? Are the next steps and required documents understandable? Have individual access and permissions been reviewed after the change? Bank mandates, association registers and external accounts need a separate organisational checklist; the software does not change them.
What a good handover achieves
The successor can continue an open case without asking the previous owner. That is a result you can check. Try three representative cases together in the demo using fictional data. Real relief and the completeness of your handover must then be confirmed in everyday club work.

Frequently asked questions
Do we need to wait for the next board election?
No. Deputies and clear responsibility also help during holidays, illness and shared work. Start with a process that only one person currently understands.
Does the software transfer bank authority or register entries?
No. Responsible people must arrange those changes outside the software. The club office helps your team keep track of unfinished work.
How much does the shared club office cost?
It is included in every plan, along with team accounts. Up to 150 ongoing memberships cost €39 with monthly billing or €348 per year. Applicable taxes are shown before you subscribe.
