What is proven — and what must be settled before production use

Club Base Cloud has a separate customer runtime and a Stripe checkout. Technical tests do not replace bank acceptance or the agreement governing your members’ data.

Separate club workspace

Each club receives its own club database and separate donor database. Customer operation and the public demo use separate processes and database credentials. Demo data is fictional.

Accounts and sensitive data

Individual accounts and roles restrict access. Board, treasury and fundraising roles are required to set up two-factor authentication. IBANs and selected donor data are encrypted by the application; this does not prevent authorised operator access.

Importing members

The self-service import checks CSV/XLSX member records with a preview and your confirmation; existing records are not overwritten. Full free migration additionally includes reconciliation of payment histories, SEPA mandates and special formats. We review the transferred register together before you use it.

Fees and bank acceptance

Generated SEPA files are checked against the integrated XSD schema and advance notices are supported. This does not prove acceptance by your bank. Confirm format, deadlines, mandates and a test file with your bank before a real collection.

Backup and recovery

A daily encrypted backup is configured for the customer service, covering databases, private files and the operating environment. Fourteen generations are retained locally and outside the application server. The private decryption key is kept off the server. Decryption and recovery of the new central database were checked on 19 September 2026. On 15 October 2026, the populated fictional demo was also restored into an isolated database on the same server: 33 tables, 36 members and 30 invoices; every data record matched the source. This does not establish a live offsite or file restore, acceptance by a real club or bank, an SLA or a committed recovery time.

Agreement before real data

Before processing real member data, agree the DPA, subprocessors, data return, deletion and international access. The existing contractual documents are drafts. DigitAI Solutions LLC is based in the USA; operating and administrative access locations must be stated explicitly. An EU server location alone would not settle those questions.

Purchase and payment

Stripe processes payment for the software subscription. Membership fees stay with the club and its bank. The board can manage software invoices, payment methods and cancellation in the Stripe portal. Review contractual and tax information before completing checkout.
