Scope and purchase terms

Club Base Cloud is a monthly or annual subscription for your club.

Subscription scope

Club office with ownership, deputies and history; Members, CSV/XLSX import and individual team accounts; Fee runs, SEPA files and advance notifications; Events, member portal and separate donation administration; Your club workspace, updates and email assistance.

Price, trial and cancellation

Start: €39/month, €348/year. Team: €79/month, €708/year. Plus: €129/month, €1,188/year. 30 days free, then automatic renewal at your chosen price. Pay monthly or annually; cancel at the end of the billing period in the Stripe customer portal. Any applicable taxes are shown at checkout before you subscribe.

Membership counting

Active and paused memberships count. Applications and ended memberships do not. More than 1,500 members? Contact us to agree operating scope and pricing.

After checkout

After checkout, choose your club address and set up your board account. We check your bank’s format before the first collection. A data processing agreement must be agreed before you use real member data.

Onboarding and additional work

Optional: a one-off €490 for one CSV/XLSX membership file of up to 1,500 rows, field mapping and import review, plus two 60-minute sessions. Payment history, mandates and special formats require a separate agreement. We confirm scope before booking.

Personal development support

Custom features and ongoing development support are available by separate proposal, with a defined time budget, acceptance criteria and price. Your subscription does not include unlimited custom development. Special membership rules, historical payments, existing mandates and automated dunning require a separate assessment. A feature request is not an agreed delivery commitment.

Before your first bank collection

Your subscription pays for the software only. Membership fees are collected into your own bank account. The software generates a SEPA file; it does not move or collect money itself. Confirm the format and test file with your bank.

Help and contractual documents

For payment issues, update your payment method in the Stripe portal or contact us. Before production processing, agree the data processing contract, subprocessors, international access and data return. The existing privacy contracts are still drafts. We do not claim a completed customer project or bank acceptance.
