This notice covers clubbasecloud.com, the short enquiry and the ten specialist questions. It does not describe a live Club Base Cloud customer system: no production operation for a real club is currently evidenced.

Which data the forms collect

The short enquiry asks for name, club, approximate member count, email address and your main issue. The longer questionnaire can also include role, country, phone, club website and your answers to the ten questions. Required fields are marked in the respective form. No payment data is requested.

Purpose and legal basis

We use the data to assess whether Club Base Cloud may fit your club, answer your enquiry and, if requested, prepare an onboarding proposal. You consent to being contacted by ticking the checkbox. Where you ask for concrete pre-contract steps, processing may also be necessary to take those steps at your request.

Current technical submission route

The current form endpoint validates a submission and is designed to save a private server-side copy before delivery. It then sends the enquiry to a fixed DigitAI mailbox and can forward it to configured DigitAI CRM and Projects systems. These copies exist for enquiry handling and delivery reliability; this route is separate from any future product database for a club.

Drafts, security checks and server logs

The ten-question form can keep an unfinished draft in this browser on this device until you send or clear it. When the form is submitted, the server processes technical data such as IP address and time for origin checks and rate limiting. The hosting service may also create access logs; its exact log content and retention must follow the applicable hosting information.

Retention and deletion status

The current submission path creates a private reliability copy, but an automatically enforced deletion period for every resulting copy is not publicly evidenced. We retain enquiry data only for the enquiry and any required legal record; you may request deletion at any time. Before form operation is treated as final, retention periods and deletion across server copy, mailbox, CRM and Projects must be documented and tested.

Service providers and international context

Website hosting, email delivery and any configured CRM or project service can process enquiry data on our behalf. DigitAI Solutions LLC is established in the United States. This notice does not claim that a complete Club Base Cloud product subprocessor list or international-transfer package already exists; both must be completed before real club data is processed in production.

Your rights

You can request access, correction, deletion, restriction and a copy of your data and object where the law provides that right. You can withdraw consent for the future by emailing hello@clubbasecloud.com. You may also complain to the competent supervisory authority. Legal duties to retain a specific record can limit immediate deletion.

Optional advertising measurement

Only with your permission, Microsoft Advertising UET records page views, enquiry steps, technical errors and confirmed enquiry receipts to measure advertising results. We send the brand and step names, not form answers, names, email addresses or phone numbers. Microsoft also receives technical connection data and may use UET identifiers. We do not activate Clarity or session recordings. Your choice is stored in this browser for up to 180 days. With consent, approved campaign identifiers, the Microsoft click identifier and a random attribution identifier are retained in this tab for up to 24 hours. These data may be attached to a submitted enquiry or, when you continue to the Club purchase area, to a trial account or purchase for internal attribution. Click and campaign attribution is used for this measurement for up to 90 days. Our daily cleanup then removes click and campaign identifiers from measurement records. Necessary purchase and accounting records follow their separate retention periods. For a successfully provisioned trial account or an actually paid subscription, we may send Microsoft the click identifier, time and type of success; for a purchase, also the paid amount and currency. No contact details or form answers are sent with these events either. You can withdraw through Privacy settings in the footer: new browser measurement stops and our local attribution storage and UET cookies are removed. We also send the attribution identifier to the Club purchase area to block further attribution and success reporting for that identifier. This notice requires a working connection; if there is a problem, you can also write to hello@clubbasecloud.com. Browser withdrawal does not retrieve events already sent to Microsoft. Software subscription payments

Stripe Checkout and the Stripe customer portal handle subscription purchase and management. Payment details are entered directly with Stripe. Club Base Cloud stores customer and subscription references, name, email, selected plan and setup status. Full card details are not stored in Club Base Cloud. Payment provider information: https://stripe.com/privacy. When starting a trial, you may optionally provide a phone number at Stripe for personal setup help. The number remains optional and is used for that callback. After a confirmed trial checkout, our operator mailbox hello@clubbasecloud.com receives an internal notification with your name, email address, plan and the callback number you provided. The number is processed by Stripe and in that email; it is not sent to Microsoft Advertising. This operational notification does not depend on consent to advertising measurement.

Demo and optional feedback

With your permission, the public demo measures successful loading, the selected role and a confirmed takeover of a sample task. Only fixed step names are sent to Microsoft, never task contents. Your measurement choice applies to this website and its demo subdomain; a cookie containing the choice and time keeps it for up to 180 days. Change it on either site using Privacy settings. Optional demo feedback is stored separately and internally as a category, optional text, language and time. Do not enter personal information. Feedback does not trigger an automatic email and is not sent to Microsoft. The private store has a size limit. Ongoing review and deletion are currently a manual operator process.
